In Zappyhire ATS, multiple users have access to candidate profiles and can engage in communication. This collaborative approach ensures that all stakeholders involved in the hiring process can stay informed and contribute effectively. The ATS offers a seamless messaging feature that simplifies and streamlines recruitment.
To send messages within the ATS, the hiring team can utilize the "Send Message" option directly from the job page. This user-friendly feature centralizes communication, maintains a clear record of interactions, and empowers recruiters to efficiently engage with candidates at various stages of the hiring process.
Please follow the below steps to use the messaging option.
Step 1: Log In to ATS
Access the ATS system using your login credentials.
Step 2: Find the Candidate
Option 1: Direct Search - You can quickly locate the candidate by using the candidate search box.
Option 2: Job Opening - Alternatively, you can open the relevant job to which the candidate applied and find the candidate within that job's applicant list.
Step 3: Initiate Message:
Once you've found the candidate, click on the three dots (ellipsis) located next to the candidate's name.
From the dropdown menu that appears, select the "Send Message" option.
Step 4: Compose Message:
A "Send Message" pop-up window will appear.
Compose your message within this pop-up window.
Type your message in the provided text field.
Step 5: Send Message
After composing your message, click on the "Send" button within the pop-up.
Step 6: Message Delivery
The message will be shared with the candidate through two channels:
Via the candidate's email address.
Within the candidate portal, the message will appear in the chatbox.
Optional: Attach Documents
If you wish to send documents along with your message, you have the option to attach files. Simply use the attachment feature provided in the "Send Message" pop-up.
By following these steps, you can efficiently communicate with candidates, share information, and manage your correspondence within the ATS.
Where to view the messages?
Here's a breakdown of where the messages sent through this feature are displayed:
Email: The message will be delivered via email to the recipient along with any attachments.
Candidate Portal: Candidates can access and view the messages within the candidate portal's chatbox.
ATS: All messages sent using this feature will also be accessible within the ATS on the candidate's details page. These messages and any accompanying attachments will appear in the comments section on the right side of the candidate's details page.
Interview Portal: The same comments section will be displayed on the interview portal for all interviewers who have permission to view the comments. The attachments can be viewed inside the documents section if the user has permission to view documents.
