How to onboard a candidate?

Modified on Fri, 17 Nov, 2023 at 9:17 AM

Onboarding a candidate is the process of integrating a new employee in to the organization. The onboarding stage  is the final stage of hiring wherein the HR can add reporting details, assign a buddy or request for the final documents from the newly hired employee.

To view the onboarding stage, go to the job and click on the candidate name. A new tab opens with the candidate details. From the left side menu click on Onboarding.

  • A buddy is a current employee who can help a newly hired employee become accustomed to the company. A buddy can be a support system to the newly hired by handling their queries and concerns during their onboarding process. To assign a buddy, click on the Assign option next to assign buddy and enter the name, phone number and email ID of the employee you wish to assign to the new hire.

The assigned buddy will receive an email with the candidate's name, job name, reporting date, and location once that candidate is marked as joined.

  • You can request documents from the candidate by clicking on the Request Document option. A list of document types will be listed. Select the type of documents you would like to request the candidate to upload. The candidate will receive a mail notification to upload the document. Once the document is uploaded, the recruiter is notified and can proceed to review the document.

After reviewing the uploaded document, the recruiter can update the status of each uploaded document here. Click on the "Verify Document" against the document and select Accepted or Rejected option.

If there is a quality issue or any other error in the document, the recruiter can select the rejected option and request for a document reupload. The rejected document will be discarded.

Candidate status can be updated to Joined if the candidate has completed all the onboarding formalities. Other statuses allows you to track if the candidate is not joining or has not confirmed their decision yet.
