Duplicate candidates can exist in the candidate repository due to some candidates applying for the same job opening or different job openings multiple times, using different email addresses or phone numbers. The recruiters may also come across the same candidate profiles multiple times when sourcing from different open platforms.
The system will automatically detect such candidate profiles that can be potential duplicates and will alert the recruiters. For detecting duplicates, candidate details such as name, experience(including previous company details), academics such as college, course, etc., skills, gender, and DOB are taken into consideration by the system.
If any candidate has such duplicate profiles detected, an icon will show up next to the candidate's name. Users can hover over the icon to find the list of duplicate profiles detected by the system and take action on each profile manually.
The option to view duplicate candidates will be present in the,
a. View Job Page > Next to Candidate Name
b. View Job page > View Candidates > Matching Candidates > Next to Candidate Name
c. View Job page > View Candidates > Rejected Candidates > Next to Candidate Name
d. View Job > Candidate profile
To view duplicate candidates, hover over the icon near the candidate name and click on View Duplicates. The Duplicate Candidate page will display the selected candidate along with a list of potential duplicates of that candidate
The page will display,
1. Candidate details: Candidate details such as candidate name, email, contact, mobile number, candidate source, candidate ID, the date on which the candidate was created, gender, D.O.B., highest qualification, and years of experience.
2. View resume: Click on this option to view the candidate’s resume.
3. Show Applied Jobs: This option on click will display a list of jobs the candidate has applied to.
Message Hiring Team: If the potential duplicate candidate is a part of another job, you can message the hiring team and notify them about the candidate.
4. Take Action: Two actions can be taken on a candidate. You can either mark the candidate as Not duplicate or delete the candidate.
Mark as not duplicate: If you mark the candidate as not duplicate, the candidate will no longer be suggested as a duplicate of the original candidate.
Delete candidate: Only a user with the administrator role can delete a candidate. Once this action is taken, the candidate will be deleted from the candidate database and from all the jobs in which the candidate is present. This action cannot be undone.
