How to create a new requisition?

Creating a requisition is the first step of the talent acquisition process. It includes basic details about the position such as if it's a full time or a part time job, the expected skills one must possess to be hired for the role etc. A requisition can be created only by the Requisition Admin. 


To create a requisition:


Step 1: On the left menu bar click on Requisition. On the requisition dashboard, click on +Create Requisition.

Step 2: Enter all the necessary details.


  • Under "Would you like to use previous requisition?" choose Yes to reuse a requisition or No to create a new one.

  • Start by filling in the Basic Details, such as selecting a designation from the list or adding a new one (permission required). Provide the closing date and specify the reason for creating the requisition (Replacement Hiring, New Position, or Other Reason).


  • Enter the eligibility requirements, like work experience range and primary skill. Select the job type and location, and indicate the number of openings for each location.

  • Add a Job Description, either by creating a new one, using Smart JD recommendations, or generating a new JD using AI.

  • Click on the Upload option to add any documents to support the requisition creation/ approval(optional).

  • Select the Business Unit, Department, and Level for the requisition.


Step 3: Choose the recruiters, collaborators, and hiring managers for the requisition. This will be the hiring team by default for all the jobs related to the requisition but can be changed at any time in the requisition or while creating jobs.

Note: 

1. If the department selected for the requisition has a default recruiter added by the Administrator, the default recruiter will be selected as the Recruiter.

2. If the user creating the requisition has the role of Hiring Manager, the user will be added as the Hiring Manager for the requisition by default.

3. You can also remove the default users and add any other users.


Step 4: You can also enter additional details such as salary range, optional skills, minimum academic qualification, technology stack,  courses, and certification. These fields are optional and can be filled during the job creation process. 

If the requisition admin fills these fields while creating the requisition, all details entered will be auto-filled in the create job page when the recruiter is creating a new job under this requisition.



Step 5: Finally, provide the details for the custom fields if any are present.


Step 6: After entering the details, click on the Save as draft option to save your requisition and to use later or submit the requisition for approval by clicking on the Submit for approval option.


If you have to send the requisition for approval, follow Step 7. If approval is not required, then click on Create Requisition to create the requisition.


Step 7: For requisitions that require approval, click on Submit for Approval and select the approvers. 


The Submit for Approval pop-up will show the approver levels added by the administrator on the Settings page. You can add more approvers by clicking on the plus sign(+).  The requisition will be sent to the approvers in the order selected. For eg, first the requisition is sent to approver 1. Only after approver 1 approves it, it moves to approver 2. In case the approver rejects it, the requisition admin is notified and can resubmit it for approval after making the necessary changes.

Approvers will be notified by email when it's time to take an action on the requisition assigned to them. 


The list of approvers, the approver names and the number of mandatory approvals is configured by the admin during onboarding process.
