How to create/edit a template?

Templates are pre defined email layouts that saves you time by providing a base for all your email communication. All notifications in Zappyhire are sent via mail and a default list of templates for all notifications are saved. You can create new templates or edit the existing templates to follow your branding and communication guidelines. 



How to create a new template?


Step 1: Go to Settings > Email & Template..

 


Step 2: Under Template Settings, click on the plus sign(+) to create a new template.


Step 3: Enter template details such as entity name, template type, and template name for the template. You can also give a From email address and add users as cc recipients(optional).


Please note that when adding an offer letter template, you'll find an extra dropdown labeled 'Header and Footer”. Use this dropdown to select the desired header and footer combination for the template.

  • A list of the different types of templates is provided for you to select from. This includes offer letter(provisional/final), organization user email, candidate email, covering letter etc.
  • The  From email address will be the sender address from which the candidate will receive the mail.
  • Near the Subject field, you will notice a Select Variable list. If you select a variable, it will be replaced by the actual value when the mail is sent. For example, if you add the variable " {{job}} " in your subject line, the variable will be replaced by the actual job name in that context. 


The variables available will be different for different template types.


Step 4: After entering the template details, click on Save Template.

The saved templates will be added to the templates list (on the left side) and will be ordered according to the template type.



How to edit a template?


Step 1:  Use the search field on the left to find the template you want to edit.


Step 2: Edit the template and click on Update Template.


The updated template will be saved in the template list. You can also clear the whole template by clicking on the Clear option next to the Save Template option on the top right corner.
