There are 7 different user roles in the ATS portal. Each role allows the user certain permissions. You can assign more than one role to a user.
When you select a role, the permissions relevant to the selected role will be displayed below. This includes permission to view candidate assessments, comments, candidate documents, salary and manage jobs. You can select a permission by clicking on it. A checked box would be displayed on the left side of the permission. This indicates that the permission is enabled for the user. To restrict a permission you can simply click on the permission again and it goes back to the original state.
Administrator : In Zappyhire, the administrator role has control over almost all actions. This includes managing requisitions, managing candidates, offer approvals, managing employees, etc,. The main job of the administrator role is user management, i.e. creating different users and assigning roles to them. Only an administrator can add users to the portals. However, an administrator cannot create or edit requisitions and jobs.
More permissions given to the administrator role include permission to close, hold, delete, or reopen a job or a requisition.
Requisition Admin : A job requisition is a formal request to create a new position in a company. A Requisition admin role is generally given to users who are responsible for creating, managing and getting the requisitions approved. Users with this role can create and manage requisitions in the ATS portal. They cannot create or manage jobs.
Requisition Approver: This role is given to a user who can review the job requisition and decide whether or not to approve the requisition. The main function of a requisition approver is to approve or reject a requisition sent by the requisition admin. The approver can edit only a few fields in a requisition which are job description, recruiter, collaborator and hiring manager. If for any reason, the requisition needs to be edited further, the approver can reject the requisition with a comment. The requisition admin will be notified and can resubmit it after making the necessary changes.
HR : Recruiters are assigned the HR role. Recruiters are experts in finding, screening and hiring candidates for open positions. They manage the most important functionalities starting from creating and advertising a job opening, reviewing resumes, scheduling interviews, collaborating with hiring managers and their team till the final step of hiring a candidate.
Once a requisition is approved by the approver, HR's can start creating and publishing jobs. Apart from job creation and management, HR's are also given access to the candidate database, reports, analytics, templates and the employee database (in case of referral portal).
Interviewer : Users assigned the Interviewer role can interview and score candidates through the interviewer portal. This portal can be accessed only by users who are assigned the Interviewer role. This portal is solely for the purpose of reviewing candidate details, conducting interviews, scoring, commenting and taking a final decision on the interview.
- Offer Approver : Before an offer letter is shared with a candidate, it must be approved. Users with the Offer letter approver role can approve or reject offer letters sent to them by the recruiter. There can be one or more approvers.
- Hiring Manager : Hiring managers help the team in taking a final decision on whom to hire. They are responsible for their team's actions and keep a close check on the recruitment metrics. Users with this role can add or edit candidates, change candidate status, schedule interviews, hire candidates and can carry out the onboarding process. Hiring managers also have access to templates, reports and analytics.
NOTE: Administrators can change the roles or permissions given to the user at any time by editing the user details.
The requisition admin, administrator and HR role is also given the permission to add Master data which allows them to add data to certain field lists available in the requisition creation page and job creation page such as designation, department, primary skills, optional skills, courses, certification and technology stack, while other roles can only choose from the data on the list.
